How to use the Setter Tracker, step by step. Sign in to also see the parts for team leaders and admins.
Everyday use
Signing in
Go to tracker.hisword.ph and sign in with your work email.
- First time? Choose "Email me a sign-in link", type your work email and press "Email me a link".
- Open the email from Setter Tracker and click the link, then press "Sign in". The link works once and for one hour. Check your junk folder if it hasn't arrived after a minute.
- Choose a password of at least 8 characters. Next time, just type your email and password.
- Forgot your password? Press "Forgot password?" on the sign-in page and follow the email.
Good to know: After 5 wrong passwords the account waits 15 minutes before trying again. Your tracker password is separate from GoHighLevel: changing one never changes the other.
Finding your way around
- The menu is on the left on a computer, and along the bottom on a phone: Overview, Bookings, Phone lines and Activity (admins see a few more).
- Your photo at the top right opens your account menu: My profile, What's new, User guide, Password and Sign out.
- Figures refresh from GoHighLevel every 15 minutes. The time of the last refresh is at the very top of the page.
- All times are Philippine time.
- The moon icon switches dark mode on or off.
Choosing the dates
- Pick Today, This week, This month, or Custom to choose your own dates.
- "Compare to" shows how the numbers changed against the period before (the small green or red figures under each number).
- "As of" moves the day you're looking at, for example to see last Friday.
Your Overview and your score
Overview shows how your work is going for the dates you picked.
- Dials: every call you made. Connected: calls that lasted 30 seconds or more. Connect rate: connected ÷ dials.
- Booked: appointments you set. Show rate and Won: how those bookings went with the closer.
- Your overall score adds up four things, each against its target: bookings (30%), booking quality (40%), connected calls (15%) and hours worked (15%).
- Booking quality means where your bookings are now with the closer. Won and advancing deals score high; no-shows, cancellations and lost deals count against it.
- Hours worked leaves out breaks of 15 minutes or more with no call, text or email.
- Best hours to call shows when your calls connect most often.
My bookings
- Every contact you booked, the stage it has reached with the closer (for example Showed, Follow Up, Contract Sent or Closed), and when that stage last changed.
- Use it to see what happened to your leads after the hand-over.
- A booking is credited to the setter who last called the contact before the booking. If one is credited to the wrong person, tell your team leader; they can correct "Booked by".
Phone lines, and calls from another line
- Phone lines shows the numbers you call from. Your own number comes from your GoHighLevel profile.
- If you made calls from someone else's number, it shows under "Calls from someone else's line". Press "Explain" and say why, for example "my line was down". Your team leader then approves or declines it.
- An unexplained case goes to your team leader after 2 working days.
Filing a leave (LOA)
Open your photo at the top right, choose My profile, then use "Need to file a leave?".
- Press "File a leave". Your details are filled in for you. Pick the type of leave and the dates, and add the reason.
- Add your e-signature if you like (it's used only in the file and never saved on the server), then press preview.
- Check the preview, then submit. Your LOA downloads as a Word file, and your team leaders are told straight away.
- Print and sign it, and hand it to your team leader by the working day before your leave.
- When you've handed it in, press "Yes, I've handed it in" on your Overview or profile. Until then, the tracker reminds you there and by email.
- Off sick or had an emergency? Use "Already off sick or had an emergency? Report urgent leave" when you're back. The signed LOA is due by the 2nd working day back.
- Your leave shows under "My leave" with its status: Filed, Urgent, Approved or Declined. Approved leave days don't count against you.
What's new
- When the tracker gets something new, a short note appears once at the top of Overview. Press "Got it" to hide it.
- A small yellow dot on your photo means there's a note you haven't read. You can see recent notes any time from your account menu: What's new.
Something looks wrong?
- Numbers look old: check the "Last synced" time at the top. It updates every 15 minutes.
- A booking or call is missing: GoHighLevel can take a few minutes to share it. Check again after the next refresh.
- Anything else: ask your team leader or the His Word IT admin.
